Mailroom Operations 

The University Mailroom provides centralized mail and package services for students, faculty, and staff. The following operating procedures are intended to provide consistent service, timely communication, and appropriate accountability for incoming and outgoing mail and packages.

Hours of Operation
The Mailroom will be open Monday through Friday, 8:00 a.m. to 4:30 p.m., excluding University holidays, closures, and other officially designated non-operating days.

Academic Services Building 2nd Floor.

Mail and Package Pickup
Incoming mail and packages will be received, sorted, and made available for pickup. Employees and students will receive notification when items are available, including instructions directing them to the Mailroom or Jordan, as appropriate, for pickup.

Recipients are expected to retrieve mail and packages within 10 calendar days of notification. Appropriate identification will be required when picking up packages or accountable mail.

Weekly Notifications
Weekly notification emails will be sent to employees and students who have mail or packages awaiting pickup. Notifications will identify the appropriate pickup location, hours of operation, and pickup instructions.

Unclaimed Mail and Packages
Mail and packages that have not been retrieved within 10 calendar days of notification may be returned to the sender. Recipients who are unable to retrieve an item within the 10-day period should contact the Mailroom before the deadline to request that the item be held.

 Outgoing Mail
University departments may bring outgoing mail to the Mailroom during normal operating hours. Items received after the daily carrier pickup or processing deadline will be processed on the next business day.

 Service Commitment
The University is committed to providing dependable, organized, and courteous mail services while maintaining appropriate security and accountability for University mail and packages.

Residential Students and Addressing/Labeling Rules:
To ensure that residential student mail/packages reaches its destination, please be sure items being sent to residential students include the following:

NOTE: Please use formal names, no nicknames; also do not send perishable items, due to spoilage. Please also ensure that the name of the student is on the label/package (not parent/guardian, etc.). Residential student mail services is also only provided to those students who actually are living in University provided housing. KSU's housing department provides a list of students who are living in University provided housing each semester. Any student attending ÍøÆØ³Ô¹Ï that does not live in University provided housing must have their mail sent to the address of where they are living.

Package Procedures:

Eligibility: Packages & mail are only accepted for enrolled students in approved University Housing.

Notification: An automated email is sent to your ÍøÆØ³Ô¹Ï student email address. A total of four reminder emails will be sent if a package is not picked up within 30 days.

Package & Mail Pickup Location: Packages are held for the student on record in the Student Mail Room on the second floor of ASB (Academic Services Building) for 30 days from the date of arrival. Student Mail (magazines, small envelopments and first-class mail) are held in the same location until the end of each semester.

Identification: Packages & mail may only be picked up by the student using their student ID or government-issued ID.

Timeline for Unclaimed Packages

After 30 days, unclaimed packages will be:

  • Returned to the sender or removed from campus.
  • Responsibility for Fees: ÍøÆØ³Ô¹Ï nor Ricoh shall not be held responsible for any shipping or replacement fees for unclaimed packages.

Hold Requests:

  • If you are unable to pick up a package within the 30-day window, please email copy.center@kysu.edu to request a hold.
  • The maximum hold period is 120 days unless a student is on an approved University trip or exchange program for the duration.

Please contact aux.services@kysu.edu  prior to that date to confirm you have no items held on campus.
